Family & Fellows Foundation operates under a Code of Conduct that emphasises integrity,
accountability, stewardship, and the protection of human dignity. This privacy policy explains how we
collect, use, store, and protect information about donors, beneficiaries, volunteers, employees,
program advisors, and website visitors in line with those values and the laws of Pakistan.
Information we collect
We collect only the information that is relevant to our mission and service delivery, including:
- Identity details such as name, CNIC, contact numbers, and postal addresses provided on donation,
volunteer, or beneficiary forms.
- Financial information necessary to process contributions, manage Zakat segregation, and maintain
program ledgers.
- Professional history, skill sets, and availability shared by volunteers and program advisors as
part of our tiered volunteer system.
- Beneficiary profiles, impact stories, and supporting documentation gathered during socio-economic
assessments.
- Digital interaction data such as IP address, device type, browser, cookies, and usage analytics
that help us improve site performance and security.
Why we use your information
Your information enables us to:
- Process donations, issue receipts, and maintain transparent financial controls.
- Deliver scholarships, healthcare support, food assistance, disaster relief, and other authorised
initiatives.
- Administer volunteer onboarding, hour verification, 360° reviews, and promotion assessments.
- Conduct impact evaluation, audit reviews, and project life-cycle monitoring.
- Respond to enquiries, share program updates, and provide personalised communication where consent
has been granted.
We rely on your consent, contractual necessity, legitimate organisational interest, and compliance
with applicable regulations as lawful bases for processing.
Confidentiality and responsible stewardship
Upholding confidentiality is central to our culture. In accordance with the Code of Conduct:
- Beneficiary personal information, donor histories, internal deliberations, and financial data are
treated as strictly confidential.
- Representatives are prohibited from using Foundation resources or intelligence for personal gain.
- Conflicts of interest must be disclosed immediately and managed through recusal or divestment to
maintain impartiality.
- All volunteers, employees, committee members, and advisors sign annual acknowledgements confirming
their understanding of privacy obligations.
Sharing of information
We do not sell or rent personal information. Data is shared only when:
- Working with trusted service partners (e.g., secure payment processors, auditors, legal advisors)
who are bound by confidentiality agreements.
- Complying with lawful requests from regulators, courts, or oversight bodies.
- Protecting the rights, property, or safety of beneficiaries, donors, volunteers, or the
Foundation.
Data retention and security
Information is retained only for as long as necessary to meet legal, financial, and programmatic
requirements. We employ layered security controls including encrypted transmission (SSL), role-based
access, secure storage, and regular audits. Zakat and non-Zakat funds are maintained in separate
ledgers and banking arrangements to honour donor intent.
Your rights and choices
You may request access to the personal information we hold about you, ask for corrections, withdraw
marketing consent, or lodge a privacy concern at any time. We will address all enquiries promptly and
without retaliation.
